Sending a Fax from an MPS Computer

Summary

All staff have the ability to send faxes directly from an MPS computer without having to print anything out first. This article provides step-by-step instructions. You must be connected to the MPS network for this to work.

Body

To fax from your computer:

  1. Open Chrome.
  2. Browse to https://fax.mps.k12.mi.us/streemalert/, or use fax/ as a shortcut.
  3. Log in with your MPS account using your email address as your username and the same password you would use for Windows or Gmail.
  4. On the left, click the New Message button.
  5. In the middle of the screen, check the Fax checkbox.
  6. Add a descriptive message title. This will appear in your fax history but not part of the fax itself.
  7. Click the Continue to Message button.

  9. Click the small circle next to Attachment(s) Only.

  11. Click the Choose File button.
    • Warning: The file size limit is 10 megabytes or 10,000 bytes. If the file is a PDF, you can use Adobe Acrobat to either split the file into multiple smaller files or compress the PDF. If you use the "Compress a PDF" option in the Acrobat menu, you might need to select the advanced settings option and change all the PPI values to 200 PPI at most. This is the maximum quality possible with faxes.
  12. ​​​Find the file you want to attach and click to select it in the file selection window that pops up.
    • You can only select one file at a time.
    • Your cover sheet should be your first attachment.
    • PDF, Word, TXT, RTF, and other common document types can be used.
    • Images can be used, but the fax will be very slow.
    • Try converting the file to PDF first if you have trouble faxing a non-PDF document. 
  13. Click the Open button.​​​
    • The file selection window will disappear, and the file name will appear next to the Choose File button.Uploaded Image (Thumbnail)
  14. Click the Add Attachment button.
    • The screen will change a little after attaching the first page.
    • There should still be a Choose File button and an Add Attachment button on the screen, but they may be in a different location.Uploaded Image (Thumbnail)
  15. Repeat steps 11-14 to add other documents to the fax.
  16. Click the Continue to Contacts button when you have attached all the documents to be faxed.Uploaded Image (Thumbnail)
  17. Add a First Name, Last Name, and a Fax Number.
    • Always start the number with '8' unless you are faxing someone inside MPS in which case you can use the last 5 digits of the number.
      • Example fax numbers: 819899233666 or 33666
    • Don't use any of the other buttons unless you have already added contacts to your contact list before starting to create this fax.
    • You can't add new contacts to your contacts list from this screen, and anything entered on this screen will not be saved.
  18. Click Add Contact to add a recipient. The contact you entered should appear at the bottom of the screen.Uploaded Image (Thumbnail)
  19. Click Continue to Options when you are done adding recipients.Uploaded Image (Thumbnail)
  20. Make sure Cover Page is set to No Cover Page.
    • You should add your cover page as the first attachment in step 12 above.
    • This will bypass Cleo's built-in cover page feature, which is not well suited for creating custom cover pages for each school with logos like we are used to. You are better off using your existing cover sheet as a Word document or PDF that you can update as appropriate for each fax. If you do want to try Cleo's cover sheet feature, you are welcome to experiment, but that is beyond the scope of this document.
  21. Click the Continue to Review button and make sure everything looks right.Uploaded Image (Thumbnail)

  23. Look for your confirmation email.
