Interlibrary Loans for Librarians 

Interlibrary loan (ILL) requests are a great way to expand your library’s collection without making a single purchase. Sharing resources between sites empowers your patrons by capitalizing on the collection of every library in your district, while saving your district money. 

Placing an ILL Request 

Your patrons might need resources from another library in your district and ask you to request them. Use the following steps to place an ILL request: 

1. Select Circulation > Holds/ILL.
2. To select the patron requesting the ILL, type your search term in the Find Patron field and click Go.
3. If your search returns a list of patrons, click the name of the patron requesting the ILL.
4. Click Add Hold.
5. In the Find Title field, enter the title of the item you are requesting.
6. From the in drop-down, select All Participating Libraries, and click Go.
7. From the Search Results list, click the title of the item you are requesting or Hold It.
8. In the Requesting section, use the drop-down to select when you want the item.
9. If you choose As soon as possible, click Save. 

The final steps to place an ILL request depend on which option you chose in the Requesting section. 

  • Option 1: As Soon As Possible 

10. Select the school you want to submit the request to, or let Destiny automatically fulfill the request.
11. From the Delivery Method drop-down, select how the requesting patron will get the item.
12. Click Save to place the ILL request. 

  • Option 2: Reserve For Specific Date

10. From the Delivery Method drop-down, select how the requesting patron will get the item.
11. In the Reserve field, enter the number of the copies you want, and click Refresh Calendar.
12. In the From and to fields, enter the dates you want the item. You can use the calendar on the right to identify when copies will be available.
13. Click Save to place the ILL request.

Approving an ILL Request from Patrons 

If your patrons have the permissions to submit ILL requests in Destiny, you must approve it before the request is sent to another school. Use the following steps to approve an ILL request made by a patron at your school. 

1. Select Circulation > Holds/ILL.
2. Click View Requests.
3. Click Unapproved next to the ILL request you want to approve.
4. Select which school you want to submit the request to.
5. From the Delivery Method drop-down, select how you want the item sent to the requesting patron.
6. Click Approve. 

Deleting an ILL Request 

If your patron decides they no longer need the item before the request is shipped from the lending library, complete the following steps: 

1. Select Circulation > Holds/ILL.
2. Click View Requests.
3. Click Delete next to the ILL request you want to cancel.
4. When the confirmation message appears, click Yes. 

Fulfilling an ILL Request 

When your library receives an ILL request from a different school, you must decide if you will fulfill or decline the request. Use the following steps to fulfill an ILL request from another school. 

1. Select Circulation > Holds/ILL.
2. Click View Requests.
3. To print a packing slip before you ship the copy to the requesting library, click Packing List. 

Note: The Job Manager opens. Click View to open and print the packing slip. 

4. To fulfill the request and to ship the copy, click Ship It. The status changes to En Route. 5. When the borrowing library receives the copy, the status becomes Ready. When the copy is checked in, the status becomes Returning. 

Note: For the ILL checkout, Destiny uses the loan period for the default patron type of the lending site. 

Declining an ILL Request 

If you are unable to fulfill an ILL request, you can decline the request. Use the following steps to decline an ILL request from another school. 

1. Next to the ILL request you want to decline, click Decline.
2. When the message box appears, type an explanation for declining the request.
3. Click Yes. The request is removed from your Requests list. 

On the requesting site’s list, the status changes to Declined. The librarian or the requesting patron there can then delete the request. 

Receiving an ILL Request 

When your library gets a requested ILL for a patron, you need to receive it in Destiny. 

1. Select Circulation > Holds/ILL.
2. Click View Requests.
3. Next to the ILL request from another site, click Receive.
4. The status changes to Ready and can be checked out to the requesting patron.
