Each has different steps to manage them, as shown below. Most users will only manage their own voicemail. Office staff will also manage shared mailboxes (building, attendance, departmental, etc.) and call handlers. A call handler is what plays the greeting on the main phone line before sending the call to the front desk phones.
Voicemail (for personal extensions, not shared mailboxes)
First Time Setup Instructions
1. From any MPS phone, dial 31213 or dial 989-923-1213 from a non-MPS phone.
2. When asked to enter your ID, enter your 5-digit extension followed by #.
3. When asked to enter your PIN, enter 135790# (This is the default PIN and must be changed.)
NOTE: If this PIN is rejected, you or someone else must have already gone through the first-time setup process. The PIN can be reset using the Self Service Portal. See the instructions at the end of the document.
4. When asked to record your name, please only record your name. You will have a chance to record a greeting in the next step.
5. Record your greeting when asked.
6. You will be asked to set a new PIN. It must be at least 4 digits and cannot have repeated numbers next to each other.
You can repeat steps 1-3 at any time to check your voicemail. If your phone has a voicemail button, you can use that skip steps 1 and 2.
NOTE: If you have messages, you will not hear the main menu options, but the main menu will still be active for a few seconds before you are sent to the Message Playback Options menu.

Shared Voicemail
Main office phones typically share access to a General Voice Mailbox for the building. This is not tied to your personal voicemail; it will be a separate button on the phone. The extension usually starts with 1 followed by the last 4 digits of the building's main phone number. Calls not answered by the main office hunt group (they called the main number, and no one picked up) go to this shared mailbox. Messages in this mailbox usually are not forwarded to an email address, so they must be handled through the phone's voicemail system or the self-service portal web page.
Accessing a Shared Voice Mailbox
1. From any MPS phone, dial 31213 or dial 989-923-1213 from a non-MPS phone.
2. When asked for your ID, enter 1 (not 3) followed by the last 4 digits of the phone number for the mailbox, then #.
Examples: 15181# for MHS and 15382# for DHS
3. When asked to enter your PIN, enter the shared voicemail PIN. If you need to reset it, please submit a helpdesk ticket.
Optional voicemail button: If you have the shared mailbox set up as a second line on your phone, you can select that line, then press the voicemail button. The system will assume you are accessing the mailbox for the line used to call in.

Changing the Greeting on a Shared Voice Mailbox
To change your greetings, you must enter the setup menu, option 4, on the main menu. If you are in the middle of listening to messages, press * to return to the main menu, then press 4 to enter the setup menu. Follow the prompts to change or manage your greetings.
Call Handlers
Most buildings have a call handler that plays a greeting before handing the call to the main office hunt group. These greetings often accept input to handle the call in a different way like sending it to the attendance hotline instead of the main office.
Changing the Main Line Greeting
- Dial 31212 or 989-923-1212 to reach the Greetings Administrator.
- Enter your 5-digit extension followed by # for the ID. This acts as your username to ensure you have access. If you do not have access, please contact the help desk.
- Enter your voicemail PIN followed by #. This acts as your password for the voicemail system.
- Enter the 5-digit extension for the call handler you are trying to edit followed by #. This is most likely the building's main number.
- Follow the prompts. The system will first play the active greeting for you and then give you the available options.
NOTE: If you are rejected after entering the 5-digit extension for the call handler, you do not have access. You must submit a ticket to request access.
Options
The system will start to play the current greeting. After the greeting plays, you will be presented with the following options:
1 Turn on the alternate greeting.
2 Change the standard greeting.
3 Change the busy greeting.
4 Change the closed greeting.
5 Change the internal greeting.
6 Change the alternate greeting.
7 Change the holiday greeting.

Managing Messages
1. On the Cisco Personal Communications Assistant website, click: Web Inbox
2. Click on a message to see your options.
3. In the lower right corner, you can select either computer or phone.
NOTE: "Computer" plays from your speakers, and "Phone" will expect you to enter an extension. The phone option will call the extension that you
specify and begin to play back the message. You do not need to hang up between messages if you want to play multiple messages back to back.
Changing your PIN or your Greetings
1. On the Cisco Personal Communications Assistant website, click: Messaging Assistant
2. To change your PIN, click "Passwords" on the menu at the top and "Change PIN"
3. To manage greetings, click "Greetings" then "View Greetings"
