This checklist is designed to ensure our new employees are set up quickly, securely, and with all the knowledge they need to be successful from day one.
I. Core Account and Hardware Setup (The Basics)

Provide the new employee with their district-issued computer and work tablet. Hand over their unique sign-in name and official work email address.

A2. First Sign-In Walkthrough
|
Walk them through signing into their computer for the first time. Important Tip: Explain that for the very first sign-in, the computer needs to connect to the internet (like their home Wi-Fi) before attempting to log in. Show them how to update their temporary password immediately.

A3. Security (MFA) Setup
|
Set up Multi-Factor Authentication (MFA)—the extra security step. Help them install the special code or app on their phone/device to verify their identity when signing into Microsoft and Google services.

A4. Communication Tools
|
Configure their work phone system (for calls and messages) and ensure the work tablet (if issued) is ready for use.

A5. Equipment Confirmation
|
Confirm they have all necessary accessories: two laptop power cords, the tablet power cord, the connection cord, the pen, the protective cover, a cleaning cloth, and a physical internet (Ethernet) cord.

A6. Device Accountability Form
|
Explain the employee's responsibility for device care and the requirements for actions needed in the event of device loss or theft.
File the signed device accountability form in the designated paperwork folder for record-keeping.

II. Essential Software and System Access

B1. Core Application Access
|
Sign them into the major work platforms, including the cloud storage where work files are kept and the primary software suite used for creative projects (like graphic design).

B2. Printing and Badge Setup
|
Connect the computer so they can print in black/white and color. Set up their ID badge so they can use it to securely release print jobs.

B3. Desktop & Browser Prep
|
Optimize their desktop experience: place the Google Chrome icon on the quick-access bar and put the icon for the app that installs other work programs onto the main start menu.

B4. Browser Helpers
|
Turn on any small helper tools (extensions) for Google and the small tool for Adobe that works inside the Chrome web browser.

III. Support, Training, and Best Practices

C1. How to Get Help
|
Inform the employee of the phone number to call for technical assistance and the hours when assistance is available. Show them how to officially ask for tech help by filling out the online support form.

|
Show them where to find important work links (like for payroll/HR) in the MPS Staff folder.

C3. Password Management
|
Demonstrate the process for performing a password reset in the future.
|

C4. Device Care & Security
|
Show them where the different ports are for plugging in devices and how to cover the camera when it's not in use. Provide device care tips, and suggest a tip for battery health (let it run down to about 20% power once a month).

C5. Personal Device Integration (Optional)
|
If requested and approved, assist with setting up their own phone or tablet to use the work internet connection and to access their work email on their personal device.
