New employee device setup instructions.

Device Setup Prep:

Start by accessing the Active Directory Administrative Center application on your computer's desktop to reset the new password. Make sure to check "User Change Password On Next Log in". Using the LastPass password generator, you can create a randomized password for this purpose. Following this, you can start the device setup process. 

Laptop Setup

BEFORE PROCEEDING: confirm the new hire's identity with their driver's license. 

Once the new hire's password has been reset, you may begin the laptop setup process, which should always take place before setting up their tablet. On startup, they should log in with the username/password you provide along with having them change it per the "User Change Password On Next Log in" mentioned above. After they have changed their password follow the below instructions for setting up their laptop with their account in the order presented. 

H will be used to represent an action being performed by a new hire, and T will represent the same for the tech. 

  • [T]: Press the Windows key and type "Default Apps" to access settings. 
    • Search for "Google Chrome" and select "Set Default" in the subsequent menu. 
    • Search for "Adobe Acrobat" and select "Set Default" in the subsequent menu.

  • [H]: Hire will log into Google Chrome.
  • [T]: Tech will use the "log in with Google" option to log the hire into both Adobe Creative Cloud and Google Drive.
    • In preferences of Google Drive, set the Desktop, Documents, and Download folders to sync for data redundancy.
  • [T]: thoroughly explain why backups are performed and how they operate.
  • [T]: Explain how the MPS Staff folder operates. 
    • Explain the purpose of the MPS staff folder and why you cannot make bookmarks of most tools within.
    • [H]: hire logs into synergy
    • Summarize why synergy is used and how it operates in relation to Canvas.
    • Bring up Canvas and show some of the basic features of the site, along with explaining the synchronization feature, which transfers grades from Canvas to synergy.
    • Show the hire how the web helpdesk operates by going to work order systems > technology help desk, in bookmarks. 
    • Explain the MPS Password Reset Tool and why they cannot change their password through Google Chrome directly. 
  • [T]: explain why shutting down is essential to ensuring a functional device
  • [T]: printing instructions.
    • Open a Google tab and press CTRL P to show a basic print menu for training.
    • Select the destinations option and show what the printer options menu will look like.
    • Explain that the building-specific printers are to be avoided above all else, and they should only use the Black&White Queue and Colored Queue.
    • B&W printers will send to all printers, and color will send to only the colored printers.
    • Explain that the first time they badge in, they will need to log in with their username and password to associate their account. 
  • [T]: laptop hardware instructions.
    • Explain the trackpad does not have a dedicated right clicker and instead detects based on where your hand is positioned.
    • Show how to switch the cam cover on and off.
    • Explain their tablet cable cannot be used to charge their computer HOWEVER their student's chargers can be used in a pinch.
    • The charging cable for their laptop is to be grabbed close to the end to prevent torque snapping when grabbing the cable directly.
    • PROVIDE A COMPUTER WIPE - instruct that the screen is not to be cleaned unless the chemical being used is made for lenses.
